When I first started in this industry I always looked at employee theft as the manifestation of greed or desperation, however recently I have noticed that it is becoming big business.

We all know that there is no honor among thieves, but apparently there is no honor among retailers either. One of my stores is located in a strip mall. 2 stores down is a large beauty supply store. One of the cashiers at my store was apprehended for employee theft trying to sneak a backpack full of high-end shampoos, perfumes, etc. out of the store without paying. During the interview she began singing like a canary. (I sincerely love these kinds of people, by the way) It appears the owner of the beauty supply store was happily paying anyone who stole from us. This allowed him to pay the thief and still sell the merchandise at a lower price than we were because it was all profit to him. Needless to say we went after that store owner like a pit bull on a chew toy.

In another instance I was at a local watering hole that I don’t often frequent when a young man that I recognized from one of the grocery stores I work at walked in. He saw me, nodded nervously and walked out quickly. The bartender proceeded to tell me that he and a couple of his buddies come in about 2 or 3 times a week selling large quantities of meat and seafood at discount prices. Of course I looked into it and of course they were guilty. The 3 men, 2 of which worked in the meat department were sneaking the product out of the store at night and selling it on the street to whoever was willing to pay their low prices because again, it was all profit to them. Be aware, employee theft has graduated from the minors and is becoming a major league business.

The reason employee theft is so dangerous to a company is because of its’ snowballing effect. Think about it, if you saw the same customer come into the store everyday and hang out in the same department you’d become instantly suspicious of them, right? Well, that’s exactly what your average employee does, however we assume that they’re there to simply do a job so we think nothing else of it. The truth is their position gives them unquestioned regular access to both your money and your merchandise. In essence, your business is in their hands.

Employee theft is like a drug. The first time an employee decides to take from the company they’re usually scared and apprehensive. They’re shaking like a leaf; beads of sweat form on their brow and they’ll probably talk themselves out of their first few attempts. After the first time though it becomes easier and easier to conceal merchandise or dip into the register. Before you know it that same individual who looked like a frightened child the first time is a regular retail John Dillinger, and just like Dillinger he’ll eventually recruit a gang.

Some thieves are smart and keep their wrong-doing to themselves. Most like to brag. Once the bragging starts the snowballing will too. Other associates will begin looking for ways to get away with either cash or merchandise and now you have multiple people taking multiple things at multiple times of the day. Your employee theft is out of control! What’s the solution? Stop the snowball before it starts. When the other employees see that first individual get taken away in handcuffs all of a sudden employee theft doesn’t seem like the great idea it once did.

A Funny Internal Theft Story – Atlanta Georgia

A funny thing happened on my way to an internal theft . A company that I worked for was seeing unusually high losses in their Electronics department. Upon reviewing the footage and seeing the type of merchandise that was frequently going missing we determined that external theft, or shoplifting, was probably not the culprit. See, most of the missing merchandise stayed locked up in a back closet of the Electronics department just so average customers wouldn’t have access to it. Therefore it became obvious that it must be an inside job.

I entered the store in the middle of the night and installed a covert camera in the back closet of the Electronics department. I figured that whoever was committing the internal theft would continue doing so and with video footage of the deed it would be incredibly easy to build a case. What I didn’t realize is that there was a lot more going on in that back closet than I had anticipated. On a quiet Sunday afternoon I received a phone call from one of my detectives who snickered uncontrollably as he asked me how to handle the situation.

It seems that a couple of Electronics associates had been using that back closet as a rendezvous spot and were currently involved in acts that would make a madam blush. I called the manager of the department and had him conveniently walk in on them. (Since the lovebirds weren’t my initial target I didn’t want to alert anyone to the presence of a covert camera). The couple was terminated for unprofessional conduct and time theft and about a week later the actual thief was caught red handed with over $500 worth of MP3 players stuck down his pants. 3 for the price of 1 is always a good deal, especially when you’re talking about internal theft .

I was involved in investigating an employee theft in which the employee was stealing donuts on her break.  Was it worth the time to investigate?  Yes, when you consider that this small theft might have led to her stealing more merchandise.

Conducting this employee theft investigation right away, at the first sign of loss, was my way of being proactive and stopping a thief before her confidence in her abilities to steal grew.  And usually when you discover a loss that is caused by an employee, there have been more instances of theft prior to the one you discovered.

Using Cash Controls to Prevent Internal Theft – Atlanta Georgia

The best way to prevent internal theft within your organization is to inform your employees about your internal security measures. Furthermore, make sure they understand that if caught stealing you will prosecute them to the fullest extent of the law. The fact is that most employees steal simply because they think they can easily get away with it. Let it be known that they will probably be caught and definitely have to pay the price for their wrong-doing once caught and you’ll limit the number of thieves within you building.

Here are a few tips on how cash controls can help you prevent internal theft and send a message to your employees: Limit the amount of cash in a register and do frequent safe drops throughout the day. There’s nothing more tempting than a mound of cash sitting in front of you. Take away that temptation. Put one employee in charge of setting up cash drawers and put another one in charge of double checking it. Never put one person in charge of all of your money, again the temptation is too high. Issue one drawer to each cashier. Nobody else should be allowed to ring on this drawer. This sends the message that ‘whatever happens to this drawer is your responsibility’.

You should require that every register be closed after each transaction and a register should never be left unlocked when not attended. This will eliminate the claim that another employee rang in a sale when they were on break, at lunch, etc. All over-rings or under-rings should be signed off by a manager and the signature of all managers should be kept on file to prevent possible forgeries. These steps send the message that you’re serious about controlling your money and keeping employees honest. Use them and you’re guaranteed to limit the amount of internal theft you experience.

Initiating an Employee Theft Investigation – Atlanta Georgia

Once you’ve observed the signs and believe you have internal theft taking place within your organization it’s time to begin an employee theft investigation. What this basically means is you have to now gather evidence to find out who is involved in the internal theft and how they’re doing it. On your network television shows it may be ok to drag someone in with a gut feeling and try to force a confession out of them, but in real life that’s a great way to get sued. So I encourage you to do your due diligence and investigate the situation thoroughly and only interview the suspect once the evidence is confirmed.

Let’s say you’ve noticed a pattern of cash shortages. These shortages take place on the same day and time every week. You check the schedule and find that during the majority of the shortages the same individual was always working the cash register. Now it’s time to review the footage. At no time do you ever see the subject take money out of the register and pocket it. Also, any “no sales” rang on that register do not correspond to the times and dates of the shortages. So unless the subject is a distant relative of Harry Houdini there’s no way that they’re responsible for the shortage, right? Wrong!

There are many different ways to commit internal theft; therefore an employee theft investigation must be multifaceted. Check your footage again and you may find that your subject is always ringing up the same 2 customers on the days of the shortages. These customers purchase fairly inexpensive merchandise but they receive a great deal of change back every time. The customers are obviously working in collusion with the subject. Whether they divvy up the money later or he’s just giving it away it is now obvious what is causing the shortage and how the subject is doing it. With this evidence you may now proceed with the rest of your employee theft investigation.

Previously we discussed signs that an employee may exhibit to clue you in to possible internal theft. Now, I wanted to tell you about some other signs to look for from others that may let you know you have a potential problem. It’s estimated that $52 billion a year is lost due to internal theft so it may be beneficial for you to know and understand what to look for and how to stop a costly problem before it starts. Customers are a great source of information. They may not always be right as the old adage says, but they’re always worth listening to.

If you get constant customer complaints about shortages or substitutions in their orders you should begin to become suspicious. Sometimes a customer may see something on your sales floor but not want to get involved at that point. It’s easy to dismiss these as pranks, but I caution you to give them the proper weight and investigate them thoroughly.

In today’s business climate you’re always looking for an edge so you probably encourage your employees to build a relationship with potential customers. However, beware that this can become a slippery slope. Watch for any employee that seems a little too close to the customers and always be weary of a customer that comes in and demands to only deal with a certain associate. There are many different signs to look for that may clue you in to wrong-doing inside your business. As long as you have employees you’re going to have employee theft. Bleak, I know, but I never promised you a rose garden. This is simply one of the universal truths of doing business. Another unfortunate truth is that by the time you actually catch an employee stealing and are able to build a case against him/ her they’ve probably been doing it for a while and you’ve probably already lost quite a bit of money as a result. So you need to be able to read the signs that can inform you who is most likely to steal from you before they actually do it.

First of all, anyone who displays the signs of a possible substance abuse problem (whether it is illegal drugs, prescription drugs or alcohol) should be watched closely. These issues tend to quickly exhaust an individual’s personal finances. As a result they then go looking elsewhere for cash to support their habit and your cash register is a great place to start. An extravagant lifestyle is a warning sign as well. If you have a cashier who makes $11/hr but drives to work in a Porsche everyday you may want to look into that.

Some employee theft takes place out of revenge. Maybe an individual got passed over for a promotion or feels somehow slighted by a member of management; this can often lead to an attitude where they feel they deserve better and will take it if it isn’t given. Be aware of constant complaining or a belligerent attitude by an employee. Sometimes a person will even admit to having stolen money or merchandise from a previous employer. Preventing Employee Theft & Negligent Hiring Claims Go Hand In Hand – Atlanta Georgia

In the thirty years of conducting employee theft investigations I look back and see that many of the problems these employees caused us could have been prevented at the time of hiring had the company paid attention to the warning signals.

If addressed in the beginning BEFORE a candidate is hired these same warning signals also provide your company protection from negligent hiring claims. It is important to look at hiring as a process that must be adhered to even if you are a small business.

To protect your company you should do the following:

  • All job applicants must fill out your application form. You should not simply accept their resume. They need to completely fill out you application and sign it. Your application should include a detailed work history. It should also ask about criminal convictions. Yes, you can do that and you should, every time.
  • Actually check their criminal records. It is easy and cheap.
  • Conduct personal interview with the candidate. This should be done by at least 2 people but the more the merrier.  I suggest 3-5 interviews with different management people in your company. This allows you to get many views and in the long run the new employee will be even more accepted as others have a stake in their success. Don’t have anyone else that can do an interview? Ask a trusted business friend, spouse or other person who is professional and will represent you and your company well.
  • Require references both personal and work related. Then actually check them. You will be surprised what they will tell you if you know how to ask the right questions.
  • Have a set of forms that you use each time for this and retain those forms in their file.

These items will serve you well and will help protect you from negligent hiring claims and employee theft. Make them a standard part of your business.

Loss Prevention Systems Corporate Fraud investigator s have conducted thousands of employee theft investigation s for all types of companies.
